Bakery ordering system guide

Collection slots, pre-order and fresh-item availability for bakery operations.

What makes bakery ordering different

Bakery inventory is time-sensitive. Items sell out, production runs are finite and collection timing matters more than delivery for many products.

Key workflows

  • Collection time slots with production buffers.
  • Pre-order for cakes, bread and event items.
  • Sold-out and pause-item controls for fresh stock.
  • Separate menus for daily items and pre-order items.

Daily stock and sold-out items

Keep same-day bread and pastries separate from products made to order. At opening, check the quantities available for collection against the production sheet. When a batch sells out, mark the item unavailable and confirm it cannot be added to a new basket. Check every ordering channel so staff do not promise stock that has already been allocated.

Example: a cake pre-order

A celebration cake needs a different preparation window from a loaf collected today. Publish the available sizes and flavours, record the collection date and any agreed personalisation, and confirm the change deadline with the customer. Review dietary requests with staff before accepting the order. Exact lead times depend on your production capacity.

Collection and production checklist

  1. Set collection windows that begin after the relevant production batch is ready.
  2. Separate the daily picking list from the advance cake and event order sheet.
  3. Check sold-out controls, cut-off times and customer confirmations with test orders.
  4. Give collection staff the order reference, collection time and any handling instructions.
